Member Database management

Alumni data can be managed efficiently by uploading rosters in bulk, adding/editing items, and setting membership types.

Profile settings

  • Profile Item Settings

    To add items, simply follow the wizard to enter and set the necessary information.

    Menu formats such as text boxes and checkboxes, data formats such as date selection, input format settings such as "only double-byte characters can be entered," and character count settings are also available.

    You can set up detailed search items by screen and items to be displayed in the downloaded member information file on the administrator/member site, as well as display settings according to the situation.

    By setting items as required, and setting whether or not members can edit their own information, it becomes easier to gather the member information necessary for management.

    Additionally, updated member information will be reflected on the administrator and member sites at the same time, making updating work much easier.

  • Layout Settings

    You can freely set the layout of member profile detail pages on the administrator/member sites by dragging and dropping.

    It is also possible to display member profiles on multiple pages.

  • Membership-type setting

    Membership types such as regular members, associate members, honorary members, and group members can be set according to the member's attributes, qualifications, and authority, or the member's position in the organization.

    Each type of membership can be set in terms of the functions that can be used and the authority to view profile information.

    Additionally, while using the Payment function (Membership fees, donations, product sales), you can set different fee amounts for each membership type.

  • Special flag setting

    It is possible to set flags and manage members with unknown addresses and deceased members. You can search for members by flag and create lists smoothly, reducing the work of administrators.

New Member Registration

  • CSV Batch upload

    New member registration can be done individually or in batches. However, if there is a lot of member information to be entered, using the CSV file upload of the roster would be convenient.

    Similarly, file upload can be used to update a large number of member information already registered in the system, allowing changes to be made all at once.

  • Invitation E-mail function

    You can send an invitation E-mail to non-members whose E-mail address is known, inviting them to register and use the system. Upon receipt of the invitation E-mail, the member will be redirected to the new registration page of the member site, where they can register themselves as a member.

  • Automatic ID generation function(Optional functions )

    While registering as a new member, a serial number will be automatically assigned as the member ID. The serial number can be generated by specifying the number of digits and the starting number, or through the combination of the registration date and the sequential number.

  • Automatic password generation function

    While registering as a new member, a random password can be automatically generated and assigned to the member according to the password policy set separately.

  • Pre-registrant function(Optional functions )

    You can manage potential members who meet the membership requirements but have not yet registered as members, as well as members who have already registered but have not yet registered to use the system. You can also confirm members' intentions, verify their identities, and send e-mails to encourage them to register and use the system. >>Learn more about the pre-registration function

Updation and management of member data

  • Member details search function

    Other than just through the basic items such as member IDs, names, prefectures, and municipalities where they live, you can also search for members through a combination of membership type/status, graduation period, club activities, major, and other affiliations, and also extract these as a list. You can also search for members based on the conditions such as the presence or absence of an E-mail address, unknown address, or deceased status.

    Additionally, you can also search for members using a variety of criteria such as exclusive conditions, including AND/OR search type selection, and also based on the presence or absence of data for each item.

  • Profile details/h5>

    You can edit each member's profile individually, as well as change their status and membership type in bulk.

  • Data download

    You can download the list of members extracted through conditional search as a CSV or Excel format file.

Privacy Settings

    Profile disclosure range control

    Valuing the privacy rights of individual members, AlumNet allows members to set their own personal information display settings on their My Page. We take into consideration the situations in which personal information is displayed on the member sites, such as public/private settings for each item, the scope of disclosure when it is made public, and the names displayed on bulletin boards and in search results.

    In accordance with our privacy and personal information policy, the administrator can also specify the settings for displaying personal information. For example, if a member does not want his/her name to be displayed, the administrator can make it mandatory for members to register a nickname and set the names of all members collectively to private.

Data output

  • Profile image download function

    Profile images of members can be downloaded in batches from the administration screen. This is a convenient function while creating a separate printout of a member list.

  • Label Generation Function (Optional functions )

    You can easily create labels from a variety of formats, sizes, and fonts. This is a convenient function while creating direct E-mail to members, printing membership cards, printing council name tags, etc.
